What should a Property Management Company do for you?
First and foremost, when you hire a property Management Company, you
should be able to relax. If you look at the header from my Web site, the main
introduction says that “We allow our Clients to Relax” and that is the first
job of a Management Company. After a few months of having a new Management
Company you should have enough confidence in that company that you should
never worry about the activities of your property, Well almost never. I
communicate with my clients so they know what is going on with the property, so
they never have to guess. And whenever there is a hint of a problem I try to get
ahead of it and as soon as I think it may lead to something bigger, I let the
owner of the property know, so they are never caught by surprise.
Collecting the rents and getting the proceeds to the owners is very
important to the owner, but it is really the least important job a Property
Manager does, the most important job and this is a biggie is a Property Manager
needs to visit the property on a regular basis and not just when the Tenant
expects it. I always drop by my properties unannounced not wanting to enter the
property, but just to say
“Hello”. This way the Tenant understands that I will be around, not to make
them uncomfortable, but to be present. Often if you as a Property Manager
create a good relationship with your Tenants, they welcome your visits and
invite you in. When this happens, I know I have no Issue with the Tenant. I
also understand that some People are not comfortable with surprise guests, so
if I don’t get an invitation to come in the house, that’s OK, I still had the
visit and they know I will be around.
The next important job for the Property Manager is to keep the property
in good order. Sometimes that makes the owner unhappy, but it is better to let
the owner know that things need to be repaired then let the repair go undone
and it becomes a more expensive problem. If an owner does not want to fix up
the property, then get rid of the client, the property owner that does not
want to repair their property creates many problems for the Property Manager.
Sometimes you need to fire the client.
Keeping the owner informed about the property is the next job of the
Property Manager. You don’t want to be a pest and call them all the time, but
every three months is a good practice to get used to. If they hear from you,
they will be able to relax, and really start to trust your judgment and that
will make it easier to get things done. Once you gain their trust, don’t get
lazy, but keep doing a good job for them. The worst thing a Property Manager
can do is take advantage of the trust a client has in them and stop doing the
things that gained the trust of the owner in the first place.
On a very rare occasion, a client does not want to hear from the
Property Manager at all, they only want to know if there is a problem. I am not
a fan of this type of owner, but I will comply as long as they don’t blame me
when they get a surprise phone call with a problem that has been festering. It
goes against my grain, not to communicate with my client, but as a Property
Manager, I will respect the wishes of my client and only communicate when absolutely
necessary, if that is their desire.
If you hire a Property Management Company and after a few months go by,
you still worry about how your property is being managed, they you need to have
a meeting with the Broker and try and find common ground where you can have
confidence in their service. If that is not possible, then get yourself a new
Property Manager.
In my business of Property Management in Anaheim Ca. I let my clients
know that if they are not happy, then they are welcome to find another company.
I don’t want to ever lose a client due to not being able to satisfy them, but
again the most important job of a Property Manager is to allow the Client to
relax and if my company is not the answer for them, then I want them to find a
company that will be a better fit.
